Job Title: Soft Services Executive Job Summary The Soft Services Executive is responsible for managing and overseeing all soft service operations within the facility, ensuring a safe, hygienic, efficient, and employee-centric workplace environment.

The role includes end-to-end management of housekeeping, pantry and cafeteria services, pest control, indoor plants, hospitality services, employee events, hotel bookings, vendor management, and workplace experience initiatives.

The incumbent will act as a key point of contact for employee concerns related to facility services and ensure timely resolution through effective stakeholder and vendor coordination.

Key Responsibilities Soft Services Operations Manage end-to-end soft service operations for the workplace.

Ensure high standards of cleanliness, hygiene, and workplace appearance across all areas.

Conduct regular inspections, audits, and service quality reviews.

Monitor vendor performance and compliance with SLAs.

Address employee service requests and facility-related complaints promptly and professionally.

Housekeeping Management Supervise housekeeping teams and agency manpower.

Ensure proper deployment, attendance management, and workforce productivity.

Monitor usage and inventory of cleaning chemicals, consumables, and equipment.

Possess knowledge of cleaning chemicals, their applications, dilution ratios, storage requirements, and safety procedures.

Maintain housekeeping records, audit reports, and compliance documentation.

Ensure adherence to safety and hygiene standards.

Pantry & Cafeteria Management Manage daily pantry and cafeteria operations.

Ensure food safety, hygiene, and service quality standards are maintained.

Coordinate meal services, refreshments, and catering requirements.

Conduct periodic quality checks and collect employee feedback.

Manage pantry inventory and consumables effectively.

Event & Hospitality Management Coordinate employee engagement activities, leadership visits, town halls, and workplace events.

Arrange refreshments, catering, seating arrangements, and venue preparations.

Support VIP visits and hospitality requirements.

Ensure seamless event execution with high service standards.

Hotel Booking & Hospitality Coordination Manage hotel bookings and accommodation arrangements for employees, guests, and visitors.

Liaise with hospitality partners and vendors for cost-effective solutions.

Maintain booking records and vendor documentation.

Vendor Management Coordinate with housekeeping, cafeteria, pest control, indoor plant, and other service providers.

Conduct periodic vendor reviews and performance evaluations.

Verify service reports and support invoice processing.

Ensure contractual compliance and service delivery standards.

Pest Control & Indoor Plant Management Coordinate routine pest control activities and monitor effectiveness.

Maintain pest control schedules and service records.

Oversee indoor plant maintenance to ensure workplace aesthetics and plant health.

Coordinate with vendors for replacement and upkeep requirements.

Employee Complaint Management Act as the first point of contact for facility-related concerns and complaints.

Ensure timely closure of employee requests through effective coordination with internal teams and vendors.

Track complaint trends and recommend service improvements.

Maintain high levels of customer service and employee satisfaction.

Reporting & Administration Prepare daily, weekly, and monthly operational reports.

Maintain records of manpower, audits, complaints, inventories, vendor performance, and service metrics.

Analyze data and generate dashboards using Microsoft Excel.

Prepare presentations and management reports using Microsoft PowerPoint.

Ensure accurate documentation and data management.

Required Qualifications Bachelor's Degree in Hospitality Management, Hotel Management, Facility Management, Business Administration, or related field. 3-6 years of experience in Facility Management, Soft Services, Workplace Experience, Administration, or Hospitality Operations.

Experience managing housekeeping, cafeteria, pantry, hospitality services, and vendor operations.

Working knowledge of cleaning chemicals, hygiene standards, and workplace operations.

Technical Skills Strong proficiency in Microsoft Excel (MIS Reporting, Data Analysis, Tracking Sheets, Dashboards, Pivot Tables, VLOOKUP/XLOOKUP).

Good working knowledge of Microsoft PowerPoint for presentations and management reporting.

Proficiency in Microsoft Word and documentation management.

Experience in maintaining operational reports, trackers, and service records.

Ability to analyze service performance data and generate actionable insights.
